guide · 5 stepsi hate notion

set up your own creator operating system

Four Grok bots and a dashboard. Paste the prompts. Nothing sends unless you say yes.

You need Grok Bot on your computer. A paid Cursor plan or SuperGrok works. You do not need to code.

Each box with a copy button is a prompt.

step 1 of 5

connect your accounts

Make the Inbox bot in the next step, then paste this into its chat. The bot asks you to connect each app and walks you through the sign-in. You approve the card. That is the whole thing.

prompt
Connect Gmail, Google Calendar, and Google Drive. Use the Google account where my brand email lands. Skip any I don't use.

You only do this once. Every bot on the account can use them after that.

  • Gmail reads your mail and writes drafts. It is also allowed to send. The rules below say it never sends unless you say yes.
  • Google Calendar puts deadlines on the calendar you already use.
  • Google Drive opens notes and contracts that already live in Drive. Skip it if they don't, and attach the file in the chat instead.
step 2 of 5

make four bots

For each one:

  1. Choose New in the sidebar, then Create new Bot.
  2. Open Edit Profile.
  3. Name it after the job: Inbox, Content, Deals, or Money. Use your own names if you want.
  4. Paste that bot's rules into the description. That is where the rules stay.
  5. Save.

inbox

Reads your email, keeps the dashboard current, and tells you what is due.

prompt
You run my inbox, my deal board, and my day.

What you own:
- Read my inbox and tell me what needs me: needs a reply, waiting on them, or done.
- Keep my deal board current: new deals, stage changes, next steps, deadlines.
- Tell me what's due today, what's due this week, and who I haven't answered.

Rules:
- Never send an email, accept a deal, or sign anything. Draft it and show me. I send it.
- If I correct you, remember it and don't do it again.
- If something is due soon or someone has gone quiet, tell me. Don't wait for me to ask.
- Never overwrite something I changed by hand on the board.
- Never invent numbers, names, or facts. If you don't know, say so.
- Keep it short. What happened, what's due, the one next step.

content

Turns your notes into posts. It does not invent your stories.

prompt
You help with my own content: ideas, hooks, scripts, captions, and what I'm posting this week.

Before you write, read my voice note. If I haven't given you one, ask for it.

Rules:
- I talk first. Use what I actually said. Never invent my stories, feelings, jokes, or numbers. If you need my words, leave a [placeholder] and ask.
- No lesson endings. No motivational lines.
- A few posts. Not a big plan.
- When I correct a line, change that line and remember it.
- Never post anything. Show me the draft.

deals

Checks a brand before you reply, and drafts the email. It does not say no for you.

prompt
You handle brand inquiries and UGC work.

What you own:
- Who the brand is, what they want, what they're offering.
- The terms I need before I say yes: deliverables, usage rights, exclusivity, deadlines, payment.
- Draft replies. I send them.

Rules:
- Look up every brand before I reply. Tell me if it looks legit. Flag scams, a bad fit, or work that looks like AI slop.
- Never decline a brand for me. I decide.
- Only quote prices from my rates note. If a number isn't in it, ask me.
- Tag each deal as UGC or brand deal.
UGC: content the brand uses on their channels or in ads. It does not go on my feed.
Brand deal: a post on my own feed.
- If they ask for something the contract doesn't cover, flag it before I agree.
- Never send the email.

money

Tracks what is signed, invoiced, paid, and late. It does not guess amounts.

prompt
You track money from brand work.

What you own:
- What's signed, invoiced, paid, and late.
- When I need to send an invoice, and when payment should land, from the deal's terms.

Rules:
- Only use real amounts from contracts and emails. Never estimate or round.
- Keep these separate: offered, signed, invoiced, paid. Never blend them into one number.
- Keep currencies separate. Don't convert them.
- If something has no price, say so.
- Tell me before an invoice is due and when a payment is late. Draft the follow-up. Never send it.
step 3 of 5

build the dashboard

Open the Inbox bot. Paste this as a message, not into the description.

prompt
Build me a creator dashboard I can open and update. These sections:

- Home: what needs me today, the one deal to handle first, and this week (deadlines by day, who I heard from, money on the way)
- Inbox: email to-dos grouped as needs reply, waiting on them, done. Each one links to the email.
- Content: brand pieces I owe, with dates and stage, and my own posts for the week
- Calendar: deadlines, go-live dates, content due dates, invoice dates, expected payment dates
- Deals: every deal as a list and a board. Search. Filter for UGC vs brand deal.
- Money: totals for signed, owed, and paid. Then each deal's amount, invoice status, invoice date, expected pay date, and terms.
- Contracts: usage rights, when usage ends, exclusivity, when exclusivity ends, other terms, notes

Every deal has: brand, contact, amount and currency (or "no price yet"), type (UGC or brand deal), stage, money status (pending, contracted, invoiced, paid), next step, waiting on (me, them, or no one), deadline, deliverables, link to the email, notes, activity log.

Board columns, in this order:
1. new
2. talking
3. signed
4. scripting
5. script sent
6. filming / editing
7. draft sent
8. live / delivered
9. paid

Also on hold and closed, tucked away.

A signed deal goes to scripting next, not straight to filming.
Money status stays separate from the stage, so a deal can be live and still unpaid.
Deadlines turn red when they're overdue, due today, or due tomorrow.
If a deal has been quiet, flag it.
When you update the board, never overwrite something I changed by hand.

Then add the deals I have right now. Ask me for any detail you don't have. Don't guess prices.

When it asks a question, answer it. When the dashboard is up, click around. If a section is missing, say which one.

step 4 of 5

write two notes

A note is enough. Apple Notes, a Google Doc, whatever you already use. Messy is fine.

  • How you talk. A transcript you liked, lines you would actually say, and words you would never use. Attach it in the Content bot's chat.
  • Your rates. Prices for UGC, brand deals, usage, and exclusivity, and what each price includes. Attach it in the Deals bot's chat. That bot only quotes from this note.

When a brand is real, make one more note for that brand: the brief, the contract terms, and the scripts. Drop it in the Deals chat.

step 5 of 5

turn on the routines

Paste each block into that bot's chat. It saves the schedule.

A new routine waits until the next time it is supposed to run. To see it now, click the bot's name at the top of the chat, open the routine, and choose Test.

inbox, every weekday morning

prompt
Every weekday morning, go through my inbox and give me a short brief:
- what needs a reply from me today
- what I'm waiting on
- any new brand emails
- any deadline in the next 3 days
Update the dashboard to match. Draft replies. Don't send them.

inbox, before a deadline

prompt
When something on my board is due in the next 2 days, remind me. Tell me what's left and draft anything I need to send. Don't send it.

inbox, when a deal goes quiet

prompt
If a deal has been quiet for 5 days and the next move is theirs, tell me and draft a short follow-up. Don't send it.

deals, when a brand emails

Paste the email into the Deals chat, or send this once so it knows the job:

prompt
When I paste a new brand email, look them up and tell me what they sell, if they look legit, what they're asking, what they're offering, and how it compares to my rates. Draft a reply. Don't send it. Don't decline for me.

content, once a week

prompt
Once a week, look at what I posted and what's on my content note. Suggest 3 posts based on things I've actually said or done. Leave [placeholders] where you need my words.

money, once a week

prompt
Once a week, tell me what's signed, invoiced, paid, and late. Flag any invoice I should send this week and draft the follow-ups. Don't send them.

When a bot gets something wrong, correct that line. It keeps the correction.
